Marketing Administrative Assistant

Location: Remote or Hybrid
Reports To: Director of Marketing

 Position Overview

We are seeking a highly organized, analytical, and proactive Marketing Administrative Assistant to support and strengthen our marketing and communications efforts. This role blends administrative coordination with hands-on marketing support, data analysis, and website optimization projects.

The ideal candidate will work cross-functionally with program, development, and operations teams to ensure that marketing efforts—and the website itself—are aligned, effective, and user-centered.

 Key Responsibilities

Website Strategy & Optimization (Primary Ownership)

  • Lead the analysis and restructuring of a large-scale website (10,000+ pages) to improve usability, performance, and SEO
  • Conduct comprehensive content audits to identify redundancies, outdated pages, and opportunities for consolidation
  • Develop and implement web mapping strategies, including sitemap restructuring, navigation redesign, and clear information hierarchy
  • Improve user journeys to support program discovery, registration, and engagement
  • Collaborate with marketing, program, and development teams to align website structure with organizational priorities and offerings
  • Support ongoing improvements to site performance, search functionality, and overall user experience

Marketing & Campaign Support

  • Assist in the execution of digital marketing campaigns across email, web, and social platforms
  • Support paid advertising efforts, including campaign setup, monitoring, and reporting (Meta and Google Ads)
  • Coordinate timelines, assets, and deliverables across marketing initiatives
  • Assist with timing, scheduling, oversight, and performance analysis of ongoing advertising efforts

Data & Analytics

  • Track, analyze, and report on marketing and website performance metrics (conversion rates, engagement, ROI)
  • Support optimization of Meta and Google Ads campaigns based on performance insights
  • Maintain dashboards and provide regular reporting to inform strategy

Administrative & Operational Support

  • Maintain marketing calendars, project trackers, and documentation (Google Workspace, Asana, etc.)
  • Support booking and event systems (e.g., retreat or program registration platforms)
  • Coordinate across teams to ensure alignment between marketing, programs, and fundraising

Pay Range – $17 – $20/hr.

Qualifications

Required

  • Experience with Meta Ads Manager and Google Ads (campaign setup, tracking, and reporting)
  • Strong data analysis skills and ability to translate insights into action
  • Demonstrated experience working with website structure, content organization, or UX improvements
  • Proficiency in Google Workspace (Docs, Sheets, Drive)
  • Highly organized with strong attention to detail
  • Self-starter with the ability to take initiative and follow through independently

Preferred

  • Experience working with large, complex websites (5,000+ pages preferred)
  • Familiarity with content audits, site mapping, and information architecture best practices
  • Experience with WordPress or other CMS platforms
  • Understanding of SEO fundamentals, including site structure, metadata, and page performance
  • Familiarity with booking or event management software (e.g., TripleSeat or similar)
  • Experience with project management tools (e.g., Asana, Monday)
